Microsoft has provided a FREE backup tool that will automatically backup your e-mail profile (PST) records at regular times. Unfortunately most people don’t use it and don’t know about it.

The back up tool works with all versions of Microsoft Office from 2002 and later. If you have an Exchange Server your IT administrator is most likely already backing up this information, but for the rest of us this tool is invaluable. It’s pretty easy to install following Microsoft’s basic directions.

First, download the Backup Tool from Microsoft.
Launch the program and install the software on the PC you want to run backups.
Next, with Outlook open go to FILE on the top menu and choose BACKUP.
The program will open with the current PST file selected and ask if you want to run the backup. You can immediately make a copy of your system information OR you can select the “OPTIONS” button and set up a regular backup for every 1 to 7 days.
You no longer have to worry if your e-mail will be there in the future, because even if your PST corrupts or crashes, there will be copies.

One note of caution, direct your backup to another PC or be sure to copy it to a flash drive or CD in case your hard drive fails. A backup on the same PC will be of no use if you encounter a hardware failure.
